Find the repetitive bottleneck

Look for questions answered repeatedly, leads manually sorted, documents summarized, content reformatted, or follow-ups delayed. These are stronger starting points than a broad request to “add AI.”

Define the business metric

Measure response time, qualified leads, appointments, hours saved, resolution rate, or conversion—not the number of AI features shipped.

Protect data and expectations

Decide what data can be sent to a model, what must stay private, when a person takes over, and how inaccurate outputs are corrected. The workflow needs boundaries before it needs a clever prompt.

Start with human review

Use AI to draft, classify, summarize, or recommend while a person approves important outputs. Increase automation only after accuracy and failure patterns are understood.

Integrate with existing work

The most valuable AI often connects to the website, CRM, email, forms, analytics, or knowledge base. The integration and workflow design usually matter more than the model name.
